Finish setup and go live
From your accepted quote to your first outside call. The setup page, the 8 things the law and your agreement require before you go live, and what happens when they're done.
Your account goes live on its own once a short list of required steps is done. There is no one to wait for and nothing to ask for. This page walks through the whole path, from the quote to your first outside call.
How you get here
- You accept a quote. We email you a link to your quote. Open it, check the lines, fill in your name, title and email, tick the box to agree to the Terms, and press Accept. See Quotes and agreements.
- You add a way to pay. Right after accepting, press Add a card or bank account. A bank account needs two small test deposits, which arrive in 1–2 business days. You confirm them from the Verify your bank account link on the quote page or in your email.
- You get an invite. Accepting the quote creates your account and emails you an invite. Open it, choose a password, and you're in as the account Owner. If you already have a Hey Quad login, the quote page says so and you just sign in.
The setup page
While your account is being set up, owners and admins see a blue Your service is being set up banner at the top of every page. It counts the steps left. Press Finish setup → to open the setup page, called Get set up.
- The left side lists every step. A lock icon means the step is required to go live.
- The top right says how many requirements are met, and which are still needed.
- You can do the steps in any order and come back any time.
The 8 requirements to go live
These are the steps that hold up going live. Four of them come straight from the law or our robocall rules, so nobody at Hey Quad can skip them for you. They say This step cannot be skipped.
| Step | What you do | Can it be skipped? |
|---|---|---|
| Verify your email | Every owner opens the link we emailed them. Missed it? Press Resend verification email. | No |
| Your quote | Accept a quote from us (above). | Only by Hey Quad |
| Service address | Enter the street address where your service is used. | Only by Hey Quad |
| 911 alerts | Name at least one email or mobile number to alert when anyone dials 911. | No |
| 911 advisory | The owner reads the 911 Service Advisory and ticks "I have read and understand". Then print the 911 labels. | No |
| Agreements | Read and accept each agreement. Accept all required does them all. | Only by Hey Quad |
| HIPAA | Only if your business handles health information. Accept our Business Associate Agreement. | No |
| Billing | A payment method on file. Usually already done when you accepted the quote. | Only by Hey Quad |
If your business doesn't handle health information, you won't see the HIPAA step and the count is 7.
Service address
This one address does two jobs: it sets the taxes on your bill, and it's the address 911 sees. Fill in Location name, Street address, Suite / floor / unit, City, State and ZIP, then press Add this address.
The 911 side is checked in the background, usually within moments. The step turns green once the address is validated against one of your phone numbers. If you don't have a number yet, save the address anyway. It finishes once you buy one.
911 alerts (Kari's Law)
Federal law says someone at your business must be told the moment anyone on your phones dials 911, so they can meet responders at the door. The step is filled in with the owner's email and mobile. Change them if someone else should get the alert, then press Save 911 alert contacts.
- Email gets the caller, their extension and the 911 address.
- Mobile number gets a text message. Leave it blank to alert by email only.
911 calls always connect, whether this is set or not. Add more people later in Settings → Emergency / 911.
911 advisory and labels
Internet phone service has limits on 911 (for example during a power or internet outage). The law says the account owner must read about them before service starts. The owner ticks I have read and understand on the 911 Service Advisory. Then press Print 911 labels and put one label on or near every phone. The labels print on Avery 5160 / 8160 sheets. Phones we ship to you arrive already labelled.
Steps that don't hold you up
These are part of a full setup, but none of them block going live:
- Business profile. Your legal name, business type and EIN. Texting registration and number transfers use it, so type it exactly as it appears on your IRS paperwork.
- Phone numbers. Buy a number or bring one you have. See Buy a number and Connect your existing number.
- Team & phones. Add your people and their phones on the Extensions page. See Users and roles.
- Your package. Check the projected monthly invoice and press Looks right. To change seats or add-ons, see Change your plan.
- Text messaging. Optional. Press Yes, set up texting to save a registration draft, or Not now. Submitting it to the carriers is a separate step because it has fees. See Set up text messaging.
When you go live
The moment the last requirement turns green, your account goes live by itself. Outside calling, your phone numbers and billing all start then. The banner goes away.
Your first invoice doesn't charge for the rest of the month you go live in. See How to pay.
If something won't turn green
- Verify your email: the link goes to each owner's own inbox. If another owner hasn't opened theirs, the step says so. They can resend it after signing in.
- Service address: the 911 check needs a phone number on the account. Buy one, then come back.
- Billing: a bank account stays pending until you confirm the two small deposits.
- Calling out before you're live: you'll hear "This call can't be completed: this account isn't activated for outside calls yet." Finish the steps above.
If every step shows Done and you're still not live, contact support with your business name.
