Leads, filters and saved views
Work your leads in one place, keep early-stage contacts out of your everyday Contacts list, filter by source, list or custom field, save the filters you use often, and change many contacts at once.
The Leads page
Leads is one table of everyone on a lead stage, with where each one stands on your call lists. It's in the side menu when the CRM is on, and anyone who can view work can open it.
The columns are Name, Stage, Lists, Status, Attempts, Last outcome, Source, Last touch, Next step and Owner, with call and text buttons on each row.
- Lists shows the lists the person is on, open lists first.
- Status is their best status across those lists. Someone you've talked to, or who has a meeting, shows above someone you haven't reached. A person on no list has none.
- Attempts adds up their tries across lists.
- Last outcome is the last thing anyone saved after a call with them.
- A small badge on the row shows whether the number is blocked or checked against your do-not-call data.
Above the table you can search ("Search leads…"), pick a stage tab, and choose a status chip to see only people with that status on a list. Click a row to open the record, and click a heading to sort. Import a list takes you to the import page if you have permission to import.
To rename the page, choose which stages count as leads, or turn it off, go to Settings → Contacts & companies → Lifecycle and find Leads view. There you can switch Show the view in the sidebar off, give the page another Name (for example "Prospects") and pick the Stages that count. New businesses start with the Lead stage and the name Leads. You need permission to manage the CRM.
Keep early stages out of Contacts
Many businesses don't want cold leads mixed in with the people they actually work with. Under Settings → Contacts & companies → Lifecycle, Hide from the default Contacts view lets an admin check stages to leave out of the plain Contacts list.
Nothing is deleted. When stages are hidden, the line above the Contacts list says so (for example "Lead hidden"). Choose Show all to see everyone, and Back to the default view to return. A stage's own tab still shows its people and count. Contacts with no stage are never hidden.
Filters
Contacts, Leads and the people on a list share the same kinds of filters, so a saved view means the same thing everywhere:
- Search: name, phone or email.
- Owner: Everyone, Unassigned, one person, or, on Leads, people previously owned by a removed member.
- Source: Any source, No source, or one source.
- On list (Contacts and Leads): Any list, or one list.
- Never contacted: no call, text or email has ever gone between you.
- Fields: choose Add a field filter…, pick one of your own custom fields and then a value. Dropdown fields filter by option and checkboxes by Yes or No.
A list's own page also filters its people by status.
A contact's source says where they came from. Set it with Set source on the record or when you add a contact, or bring it in as a Source column in your import. See Import contacts.
Saved views
When you've set up filters you use often, choose Save view, give it a name, and it appears as a chip above the table. Select the chip to apply it again, or All to clear it.
- Each chip has a menu: Rename, Update to the current filters, Share with everyone (or Stop sharing) and Delete view.
- A shared view is seen by everyone in your business. Sharing a view, or changing a shared one, takes permission to manage the CRM. Deleting a shared view removes it for everyone, but the contacts are not touched.
- A view belongs to one page: Contacts or Leads.
- You can keep up to 50 views per page, and the business up to 50 shared ones per page.
On the Android app, saved views apply, but you make new ones on the web.
Change many contacts at once
Select rows in Contacts or Leads and bulk actions appear. You need the Import and bulk-edit contacts permission.
- Add to list…
- Assign… an owner, or choose Unassigned.
- Set stage… Any stage, forward or back. Records that aren't customers have no stage and are skipped.
- Create deals… (named after your deal type; this also needs permission to manage work). Choose the stage the new deals start in, or the first stage. A contact who already has an open deal keeps it, and no second one is made.
You can choose up to 500 contacts at a time.
