Contacts and companies
Your address book in Hey Quad. The contact record, its timeline, companies, merging duplicates, and the caller card you see when the phone rings.
Contacts is the list of people you work with. Companies is the businesses behind them. Both are in the side menu. You can rename them for your business (for example, "Patients" or "Clients") under Settings → CRM → Modules & labels, so your screens may use different words.
New contacts are made for you
When someone new calls or texts, Hey Quad creates a contact for them. You can also add one by hand. If the person you're adding looks like someone already saved, Hey Quad tells you and offers the existing record.
Every saved contact can be found from the phone, the dialer and the caller card.
The contact record
Open a contact to see their record. The header has Call, Text and Email buttons.
The tabs are:
- Timeline: everything that's happened with this person, newest first: calls (with recordings and summaries where you have them), texts, email, appointments, notes, tasks and work. Filter it by type: Calls, Texts, Email, Appointments, Notes & tasks, Work. Reply or call back right from a row.
- Details: phone numbers, email, address, lifecycle stage and your own fields.
- Company: the company they belong to.
- Your ticket types (for example Deals), Tasks and Files.
On the side you'll see a summary, contact information, the owner, their company, notes and their next task.
To add something by hand, use the composer on the timeline. Pick Note, Log call, Task, Email or Text.
Lifecycle stage
Each contact has a stage, such as lead or customer. Change it with Set stage. Your stages, and rules that move a contact automatically, are under Settings → CRM → Lifecycle.
Companies
A company record shows its open work first, then its activity, and on the side its details and the people who work there. Link a contact to a company from the contact's Company tab.
Merging duplicates
If the same person was saved twice, open the one you want to drop, choose Merge into… from the More menu, and pick the record to keep. Calls and messages from both stay in the history.
When the phone rings: the caller card
When a call rings on your Phone page or in the desktop app, the side panel opens a Caller tab with what Hey Quad knows about the caller:
- who they are and their company;
- open tickets and their next appointment;
- if the AI receptionist talked to them first, what it was told.
You see it before you answer, so you can greet them by name and skip the questions.
After the call: wrap-up
When a call ends, a Wrap up the call card appears so you can log what happened and set a follow-up. Owners and admins can turn on Needs wrap-up in the Inbox, which lists calls you answered that have no log or note yet. See Work your Inbox.
Turning parts of the CRM off
Not every business needs companies or properties. Under Settings → CRM → Modules & labels, an owner or admin can switch each part (Today, Calendar, Contacts, Companies, Properties, Inbox) on or off. Turning off Contacts only hides the list in the console. Your phone keeps its address book.
