Calendars and booking pages
Set up calendars and services, share a public booking page customers can book from, and send appointment reminders.
Calendar in the side menu shows your appointments. Owners and admins set up calendars, services and booking pages under Settings → CRM → Calendars & booking. That page has four tabs: Calendars, Services, Booking pages and Reminders.
Calendars
A calendar is a schedule people can book into. It can be one person's, or shared by a team (for example "Demos"). Each calendar has:
- its hours (your business hours, or its own);
- the Slot length (min) and a buffer after each appointment;
- Min notice (min): how soon before an appointment it can be booked;
- Horizon (days): how far ahead it can be booked;
- whether it sends reminders.
If a calendar has upcoming appointments, you can't delete it. Deactivate it instead.
Services
A service is something customers book, like "Deep clean" or "Consultation". Give it a name, a length, an optional description and an optional price, and pick which calendars offer it.
Booking pages
A booking page is a public web page where customers pick a time and book themselves.
- Go to Settings → CRM → Calendars & booking → Booking pages.
- Give the page a Page title, an optional intro, and a Web address (for example
acme-demos). - Pick the Calendar it books into (or several, so customers choose who to see), and the Services offered.
- Choose which details to ask for. A phone number or an email address is always required, so you can reach the customer.
- Save, then copy the link and put it on your website, in your email signature or in a text.
Customers pick a service, pick a time, and enter their details. They see "You're booked", and get an email with the details if they gave an email address.
You can switch a page off or delete it at any time. The link stops working at once, but appointments already booked through it stay.
Reminders
Every booking gets the same two reminders:
- 24 hours before, by email, with a link to reschedule or cancel.
- 2 hours before, by text message. This only goes to customers who gave a mobile number, and only once your number is registered to send texts (see Set up text messaging).
The wording and timing are fixed. Each calendar decides whether its reminders go out.
Booking by phone
Your AI receptionist can book appointments during a call too, if you set it up to. Appointments show on the calendar and on the customer's contact timeline, whichever way they were booked.
